Overview

Use the Aging by Contract Report to display a list of aged contracts either by invoice date or by past due date. User’s branch and dealer restrictions apply.

Note: You may use Fiscal Aging by Contract (report #2122) as your month-end report.

To access this report, select Aging by Contract (report #1150) from the main menu of SBN.

The Aging by Contract Report

This window contains two panes: use the upper pane to define the content of the report; use the lower pane to define the job output - how, when, and where you want to print the report.

Note: See Report Parameters Pane for information on the fields in the lower pane, which are the same in every report.

Field Descriptions

The following table describes the fields used in the upper pane of the Aging by Contract Report

Note: You can use wildcard characters in selected fields. For more information on using wildcards, see Searches.

This field defaults to today’s date.

Use Invoice Date

Enter a check mark in this box to use the invoice date to determine the aging category for an invoice.

Use Past Due Date

Enter a check mark in this box to use the past due date to determine the aging category for an invoice.

You must select a grouping parameter for this report:

Sort by Name

You may enter a check mark in this box to sort the report by account name.

Use Branch From

You may select a branch to sort the report by branch. (This menu originates from program #1530.)

Balance Range

Minimum balance

You may type a range of account balances to limit the report to accounts with balances within that range. Type the minimum balance.

O    The report output includes all accounts with balances within the range that have at least one invoice that matches the Days Past Due parameter.

Maximum balance

You may type a range of account balances to limit the report to accounts with balances within that range. Type the maximum balance.

O    The report output includes all accounts with balances within the range that have at least one invoice that matches the Days Past Due parameter.

Days Past Due Range

You may type a range of days past due to limit the report to accounts that have at least one invoice past due by a number of days within the range. Type the minimum number of days past due.

O    The report output includes all accounts with balances within the balance range that have at least one invoice that matches the Days Past Due parameter.

You must either select a Contract Basics Group 1 to limit the report to contracts associated with that group, or use the % wildcard to include all Contract Basics Group 1 groups. (This menu originates from program #1868.)

You must either select a Contract Basics Group 2 to limit the report to contracts associated with that group, or use the % wildcard to include all Contract Basics Group 2 groups. (This menu originates from program #1868.)

Revenue Type

You must either select a revenue type to limit the report to accounts associated with that revenue type, or use the % wildcard to include all revenue types.

Exclude

Cancelled Contracts

Enter a check mark in this box to exclude cancelled contracts from the report.

Expired Contracts

No

Enter a check mark in this box to exclude expired contracts from the report.

Include

Open Credits

Enter a check mark to include open credits in the report.

Zero Balances

No

Enter a check mark to include zero balances in the report.

Details

No

Enter a check mark to include contract level details in the report.

O    If you leave this field blank, the report returns only one line for each branch in the report.

Contract Name

Enter a check mark to include contract names on the report.

Branch Ranges

You may select up to three ranges of branches to limit the report to branches within the ranges. Select the beginning branch number of a range. (These menus originate from program #1530.)

O    If you leave the fields blank, the report includes all branches in your user profile.

You may select up to three ranges of branches to limit the report to branches within the ranges. Select the ending branch number of a range. (These menus originate from program #1530.)

Exclude

You may exclude ranges of branches from the report by selecting the ranges and then entering a check mark in the corresponding Exclude box.

Dealer Ranges

You may select up to three ranges of dealer IDs to limit the report to dealer IDs within the ranges. Select the beginning dealer ID of a range. (These menus originate from program #1537.)

O    If you leave the fields blank, the report includes all dealers in your user profile.

Dealer

You may select up to three ranges of dealer IDs to limit the report to dealer IDs within the ranges. Select the ending dealer ID of the range. (These menus originate from program #1537.)

O    If you leave the fields blank, the report includes all dealers in your user profile.

Exclude

You may exclude ranges of dealer IDs from the report by selecting the ranges and then entering a check mark in the corresponding Exclude box.

Report Example

The following graphic shows an example of the output of the Aging by Contract report with details included.

Column Descriptions

The following table describes the columns used in the output of the report.

Column

Description

Contract

Contract number.

O    If you selected Include Contract Name, this column also displays the contract name.

Dealer

ID of the dealer associated with the selected contract.

Balance

Open balance of the selected contract.

Current

Current balance of the selected contract.

[Dynamic Labels]

Up to 9 columns to display open amounts in each user-defined aging category.

Branch

Branch ID and name.

Branch Totals

Columns display totals for Balance, Current, and each aging category for the selected branch and displays the number of contracts with amounts past due for the selected branch.
