Data Entry Onboarding Template
innovating a safer world

Foreword
Central stations can only operate effectively when the data they use to process alarms is accurate and valid. This guide provides templates to help onboard installations. They can be used to capture the information from the managers of the facilities, technicians, and other staff involved in alarm processing. They can also be used to determine how you wish to react when specific signals are received

Data Entry best practices
What information is needed for a central station to operate
Premise Information
You will need to collect all premise information for your monitored device or location. This will include full street address, city, state and zip code information. This section will also include information such as premise phone numbers.
In the lower pane of the 559 screens, you collect data that includes location of the alarm panel, end user permit numbers associated with the premise and directions to the location.
To aid you in your data collection efforts, Onboarding Template A has been attached in the appendix section of this document.
Panel Types
You will need to prepare a list of device panel types that will be reporting to SBN.
Use Onboarding Template A to help you gather this data.
Zone Information
Zone reporting information can be specific for each premise location or can be setup based on Template information.
Onboarding Template A will help you gather the data you will need to setup zones for each device to be monitored.
Agencies
In SBN, you will be able to setup Police, Fire, Medical and Patrol agencies to respond to alarms processed in your central station.
Onboarding Template B will help you compile the agency information needed to setup responding agencies in your installation action plans.
Standard Text (Standard Response Sequences)
Many alarms processed through SBN can be processed using standard operating procedures. Based on location, local jurisdictions can dictate how operators should respond to alarm signals.
Onboarding Template C will help guide you on creating standard and non-standard responses for alarm signals processed by your operators.
Action Plans
In SBN, you can use a single default action plan 0 or you can setup individual action plans to respond to different types of alarm signals traffic.
Onboarding Template A will help you collect the necessary call list information for every monitored device.
Open and Close Schedules
If you plan to supervise the opening and closing activity of your premise locations, you will need to setup schedules for the expected open and close times.
Use Onboarding Template A to help you with this information.
What is the best approach to gathering this information
Gather
The first step to good data is to gather the information. If data is gathered in advance rather than using a piecemeal approach makes data entry more efficient and easier. The templates in this document can be used as a guide. They may not fit entirely your organization’s structure, so you may use them to create your own standard forms.
Determining who will be responsible for what information can help build these. For example, technicians are likely to have access to the zone information for each alarm panel but may not know who should be called for specific signals.
Review
Once the information has been collected review the information for consistency and completeness. Fixing these issues before data entry is commenced can reduce the number of questions that need to be asked when an account is brought onboard.
Depending on the size of your organization, you may also wish to consider a sign-off process from the relevant stakeholders. For example, you will be able to protect yourself if you have a record that the person responsible for the facility noted that the numbers you are dialing are correct.
Data Entry
Now is the time to complete data entry. If the accounts are very similar you will be able to speed up data entry if you use template accounts or you copy data from a standard account and modify. For example, all stores may have the same open/close schedules. All facilities may operate with the same zones. Note the similarities and group the accounts before starting to enter the data.
Your Innovative implementation expert can help you make some of these decisions.
Test
It is good practice to test the installations before starting to monitor. There are several ways the tools available within the SBN can help. Using SBN Access, technicians and facility managers can view the data you have entered and confirm the information is accurate.
Placing the account as pending monitoring while there is final sign-off helps determine which ones are ready to monitor and which ones still need review.
